Revolutionising Knowledge Management in Business and Healthcare with Notion
During his summer placement, Junior Associate Andrey Marinov completed a project to overhaul and improve Curistica’s procedures with Notion and shares his learnings below.
As a third-year medical student at Imperial College London with a keen interest in biomedical engineering, medical devices, and digital health, I've always been fascinated by the intersection of technology and healthcare. This passion led me to join Curistica, a pioneering clinical safety and digital health consultancy, where I've had the opportunity to explore innovative approaches to information management in the medical field.
During my first clinical year, I required a platform capable of managing and organising diverse information sources, efficiently tracking their origins and subject matter. It was then that I discovered the power of Notion as a personal knowledge base. The more I used it, the more I realised its potential for transforming how businesses, especially in the healthcare sector, manage and share information. This notion (pun intended) was shared by Dr. Keith Grimes, the founder of Curistica whom I met at a digital health competition at Imperial. We discussed how the use of Notion empowers Curistica's approach, which emphasises the importance of real-time information management across team members and staying consistently up-to-date.
Understanding Knowledge Management
Before diving into the specifics of Notion, it's crucial to understand what knowledge management entails. Essentially, knowledge management is the process of collecting, sharing, creating, connecting, and storing relevant information and ideas for future use in work activities. This comprehensive approach to information handling is vital in today's fast-paced business environment, particularly in fields like healthcare where accurate, up-to-date information can literally be a matter of life and death.

Curistica was already utilising Notion for project management, but there was an opportunity to deepen its use. Recognising Notion's potential as a comprehensive knowledge management system, we expanded its application to include spaces for innovative ideas, crucial regulations, and relevant research. Notion's strength lies in its versatility and simplicity: databases, nested lists, and interconnected pages can be easily customised to adapt to any organisational structure or workflow.
By leveraging these features, Curistica transformed Notion from a basic tool into a central hub for collecting, sharing, and utilising information across the entire organisation. One of Notion's key features is its database functionality, which can be designed to track projects, manage client information, or catalogue resources. For instance, at Curistica, we use databases to break down large projects into tasks and subtasks, allowing us to track progress through regular updates during team meetings. By establishing relationships between databases, we can connect data in complex structures, such as linking a person to a task, the task to a project, and the project to a client.
Complementing the databases, nested lists in Notion provide another layer of organisation, enabling the creation of hierarchical structures for information. This feature is particularly useful for developing standard operating procedures (SOPs) or organising complex medical protocols, further enhancing Curistica's ability to manage diverse types of information efficiently.
How Curistica Leverages Notion
At Curistica, we've integrated Notion into various aspects of our operations:
1. Project Management: Large projects, such as for our Governance and Due Diligence clients, are broken down into manageable tasks and subtasks. Progress is tracked meticulously through regular meetings, with updates reflected in real-time in our Notion databases.
2. Team Collaboration: Notion serves as a central hub for team members to work together on tasks, share ideas, and provide feedback.
3. SOP Documentation: We maintain a comprehensive library of standard operating procedures, which are important to ensure all work is done to a high standard, with Notion ensuring that all team members have access to the most current versions.
4. Client Information Management: Notion helps us organise and access client data efficiently, meaning that nothing gets missed.
5. Resource Libraries: We use Notion to capture the ideas that might light a spark. As an innovation consultancy, we know that ideas matter, so use Notion to store and categorise these, from research papers to industry reports to thought leadership, they all form our Notion resource library.
6. Business Idea Development: Notion provides a space for brainstorming and developing new business concepts, ensuring that we are offering our clients innovative services that enable their business goals
7. Regulatory Compliance: We store and regularly update important regulation documents and research findings, ensuring our Clinical Safety Officers always guide our clients within the latest guidelines.
In essence, Notion functions as our online office, centralising our operations and facilitating seamless information flow, which is very important within a remote working model
Notion in Healthcare
While our focus at Curistica is on consultancy, it's worth noting that Notion's applications extend directly into healthcare settings. It has the capabilities to be used for managing records, conducting medical literature reviews, storing clinical guidelines and protocols, facilitating research collaboration, and organising medical education and training materials.
